POC notice · Updated 13 October 2026

HelloRhea is an independent MVP-stage initiative. This notice describes this website and the check-in POC, rather than promising safeguards or capabilities that have not yet been validated.

Partnership enquiries

The enquiry form collects your name, organisation, role, email, area of interest, message and consent timestamp. These details are stored in MongoDB to support review and a response to your request. This POC does not send an automated email or guarantee that an enquiry will be reviewed. You can email support@hellorhea.com directly.

Enquiry records are configured to expire after 90 days. Database deletion may occur shortly after that period; any separately managed backups follow the operator’s own retention arrangements. Do not submit emergency information or sensitive personal details.

Check-in demonstration

The demo stores the participant’s name and phone number, scheduled time and timezone, three emergency contacts, consent confirmation and call history. Call history includes outcomes, timestamps and, for real tests, provider identifiers and callback metadata. We do not request call recordings.

Mock mode makes no external telephone calls. In real test mode, the configured telephony provider receives the called number, callback URLs and spoken name needed to handle the check-in. All recipients must consent before their numbers are registered.

Vehicle calling demonstration

Vehicle calls store the entered phone number, consent timestamp, recognised vehicle text, any matched registration, and call outcomes. With the caller's consent, KooKoo briefly records the spoken vehicle number and hosts that recording for one day. The app sends this short answer to Microsoft Azure Speech for English transcription, then discards its in-memory audio copy. The app does not save the recording. Its private download link is held temporarily while processing and removed when processing finishes, the call ends, or an expired call is reconciled. The app compares it with a temporary four-vehicle list and, after the caller confirms, connects the call to the configured emergency contact. We do not enable recording of the connected conversation. Vehicle call status is available to the browser session that started it using a private call-specific key. These records remain until the operator deletes them.

Access and retention

The POC deliberately has no sign-in system. Its dashboard and schedule APIs expose stored check-in details to anyone with access to that deployment. Use fictional data in mock mode and restrict access to any deployment holding real contact details. Check-in records remain until the operator deletes them; there is no automatic check-in retention policy in this POC.

Technical information

This application does not include advertising, analytics or tracking cookies. Hosting, reverse proxies and telephony providers may process connection information or operational logs. Call-scoped tokens are stored as hashes and are excluded from the dashboard responses. Operators should exclude query strings and credentials from access logs.

Your requests

To ask about your information, request correction or deletion, or withdraw consent for future use, contact support@hellorhea.com. An operator must handle those requests; the POC has no self-service deletion feature.

Future pilot safeguards

Identity verification, access controls, retention policies and other proposed safeguards must be reviewed and validated before a supervised pilot. No privacy certification, regulatory approval or government endorsement is claimed.
